Job Summary:

The Proofreader assists attorneys, clients, and support staff with proofreading and/or copyediting online and hard-copy typed, scanned, and handwritten documents. The proofreader must have superior language skills, including penmanship, grammar, and punctuation, as well as a working knowledge of legal terminology. In addition to proofreading skills, this position requires proficiency with a variety of software applications, including the Microsoft Office suite (Word, Excel, and PowerPoint), with the ability to review and revise documents in these applications as necessary.

In coordination with the shift coordinator, the proofreader must also appraise the workload, prioritize job assignments for other staff or temporary proofreaders, and evaluate specific job requirements.

Important work:

  • Identifies and marks for correction any grammatical, typographical, or compositional errors in the original copy or manuscripts.
  • Ensures that submitted content is both aesthetically and grammatically accurate. Utilizes standard proofreading codes to identify errors in a document.
  • Implements corrections in a local or system document as necessary and time permits, using Track Changes if requested, or returns a hand-marked copy to the requestor.
  • Internally (e.g., number and location of occurrences of errors or word variations within documents) and externally (e.g., number and location of occurrences of errors or word variations within documents), it uses web skills to research queries regarding spelling, grammar, or word usage as applicable, resulting in faster turnaround times.
  • Maintains a log of all proofread and/or copyedited materials.
  • Utilizes standard firm technology to efficiently manage documents, such as electronic work records (Excel), searching for documents in iManage, locating information on the Infonet, and sharing information via Skype for Business.
  • Utilizes Track Changes for comments and corrections (in Word) and Change-Pro for document comparisons when submitting job requests.
  • Returns marked documents for correction then compares the corrected document to the original.
  • Assists the department supervisor or manager with the creation of style hints or guidelines for departmental distribution.
  • Facilitates the transition of work assignments between shifts.
  • Coordinates with other proofreaders to ensure uniformity in markings and word usage (e.g., hyphenated versus single- or double-word forms).
  • Interacts with staff, attorneys, and management to comprehend work assignments and communicate any necessary document changes.
  • Performs additional assigned work-related duties.
  • Performs well both independently and in a team setting.

Education, experience, and skills required:

  • An undergraduate degree or equivalent is required.
  • At least five years of proofreading experience, preferably within a law firm.
  • Able to navigate Microsoft Office and Windows (Outlook, Word, Excel, PowerPoint) with ease in order to make necessary proofreading corrections and copyediting suggestions.
